Job Overview The Front Office Executive will provide professional handling of front office reception and administration duties. This role encompasses creating a welcoming ambiance for guests and customers, managing visitors, organizing meeting room schedules, and ensuring the seamless operation and efficiency across the organization.
Key Responsibilities
Front Office Management:
- Monitor and maintain office equipment; order replacement supplies as needed.
- Ensure reception and meeting areas are tidy and align with the organization’s brand.
- Manage visitor schedules, conference room bookings, equipment, and cleaning.
- Prepare travel arrangements for staff and oversee protocol and vehicle support for official trips.
- Manage inventory of office consumables for uninterrupted service delivery.
Facility Management:
- Conduct regular, unannounced property inspections to evaluate the performance of service providers.
- Ensure all service providers comply with property specifications and standards.
- Oversee daily inspections and supervise preventive maintenance plans.
- Manage and rectify maintenance issues related to the building’s interior and exterior.
- Address and mitigate all environmental, health, and safety concerns.
- Monitor utility consumption and adjust patterns to reduce costs.
- Lead project management for facility-related projects as directed.
Inventory Management:
- Maintain control over office inventory and ensure safe storage of materials.
- Keep accurate records and initiate purchase requisitions as needed.
- Ensure materials are issued in correct quantities based on authorized requests.
- Regularly compare book balances with actual physical stock to ensure accuracy.

Education/Experience Requirements
- Bachelor’s or associate degree in project management or a related field.
- A course in facilities management is a plus.
- At least 2 years of experience in Customer Service, Facility Operations, or Real Estate.
- Comprehensive knowledge of maintenance planning and building safety regulations.
- HND or B.Sc. in a relevant discipline.
- Prior experience in Facility Management and Office Administration is essential.
