Summary
The Executive Assistant is responsible for providing executive-level support in a dynamic and fast[1]paced Oil & Gas company. The successful candidate will be responsible for managing administrative tasks, scheduling, travel coordination, communication management, and ensuring seamless day-to[1]day operations for senior executives. This role requires a high level of professionalism, discretion, and the ability to handle multiple priorities efficiently.
Responsibilities:
Administrative & Executive Support:
● Serve as the primary point of contact between executives and internal/external stakeholders.
● Manage and maintain executive calendars, schedule meetings, and coordinate appointments.
● Organize and prepare agendas, presentations, and materials for meetings.
● Take accurate minutes of meetings and follow up on action items.
● Draft, edit, and proofread correspondence, reports, and official documents.
● Maintain electronic and physical filing systems for easy access to critical information. Travel & Logistics Coordination:
● Arrange domestic and international travel, including flights, visas, accommodation, and transportation.
● Prepare detailed travel itineraries and ensure smooth execution of travel plans.
● Handle reimbursements and expense reporting related to travel and official engagements Communication & Relationship Management:
● Screen and manage emails, calls, and messages on behalf of the executive.
● Liaise with internal teams, clients, and external partners to ensure effective communication.
● Build and maintain professional relationships with key stakeholders.
● Handle confidential information with the highest level of discretion and professionalism. Office & Task Management:
● Monitor deadlines, prioritize tasks, and ensure timely completion of assignments.
● Conduct research and compile data for decision-making and business presentations.
● Assist in organizing company events, board meetings, and other corporate engagements.
● Manage special projects and perform other administrative duties as required.
Requirement:
● Bachelor’s degree in Business Administration, Management, or a related field.
● 5-7 years of experience as an Executive Assistant, preferably in the Oil & Gas, Energy, or related industry.
● Strong organizational, planning, and time management skills with the ability to multitask and prioritize workload.
● Familiarity with corporate governance, regulatory requirements, and business protocols.
● Experience handling board-level communication and executive liaison.
● Excellent verbal and written communication skills with a professional demeanor.
● High level of discretion and confidentiality in handling sensitive business matters.
● Tech-savvy with advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
● Strong problem-solving skills and the ability to work under pressure with minimal supervision.
● Flexible and adaptable with a proactive, can-do attitude.
● Ability to work in a fast-paced environment and support high-level executives effectively.
