Administrative Coordinator.

Location: Ikeja, Lagos State.

The administrative coordinator is an important officer in a healthcare organization with the role to ensure a well organized medical office. The major responsibilities include: scheduling appointments, processing forms, providing information and maintaining detailed records and files, handling patient’s schedule, carrying out updates on medical records, answering phone calls, organizing office supplies, and ensuring that patients receive excellent customer service overall. This position ensures the handling of day-to-day office functions and gives reports to the director of clinical services. Good communication skills are an essential function of this position to ensure the smooth and effective operation of the unit.

Job Responsibilities:

  • Organize, direct, control and coordinate medical and health services in relation to company’s policies
  • Act as liaisons between patients, medical staff and department heads
  • Gather patient demographic and personal information.
  • Schedule, reschedule and cancel appointments.
  • Take phone calls from patients, labs, and physicians.
  • Document in telephone notes and assigns to proper staff.
  • Ensure health care patients receive excellent customer service.
  • Deliver test results appropriately to patients in a timely manner
  • Update management on physician schedule changes for vacations, meetings etc.
  • Check voicemails and respond to phone calls.
  • Contact patients and schedule overdue appointments.
  • Result and Report collation
  • Call patients to remind them of upcoming appointments.
  • Comply with office policy and procedures.
  • Assist in managing medical billing.
  • Issue medical files to persons, patients and clients
  • Distribute medical information to the appropriate departments of the hospital.
  • Maintain quality and accurate records by following hospital procedures.
  • Ensure patient information, paperwork and reports are completed in an accurate and timely manner.
  • Make sure all medical records are protected and kept confidential.
  • Supply the other departments with the appropriate documents and forms.

Job Requirements:

  • A degree in business administration or any relevant field.
  • A minimum of 2 years’ experience in a similar role.
  • Advanced understanding of medical terminology and administration processes.
  • Proficient in information management programs and MS Office.
  • Outstanding communication and interpersonal abilities.
  • Strong attention to detail with excellent organizational skills.
